Roo, I used to work in the entertainment industry at a party production pace Rick Herns Productions - Bay Area Event & Party Planning To get around needing all those different permits we would make sure the caterer would have all of them. Like a booze license and food service license. Never heard of the fire department wanting one for a grill, or a permit for amplified music for just a DJ. I have put on events for over 30,000 people let me know if I can help out in any way for the next BAM. I have a lot of contacts with vendors for tables and chairs or for catering.

^wish i worked with sffd!!! approval would be easy but the costs dont seem to be really worth it.

and great job of raising money for a good cause this year too.

as far as location it was perfect central to everyone, had a great view of the bay, some reason it was cold then got hot still people got sunburnt luckily i dont. also really tucked back in there for no hassling of us from others who may not take kindly. ]\

food wise I think plenty of people covered it but maybe having a side of the grill with was less coals and keeping the food on top of that, cook maybe a minute less than usual cut it up then leave in pan to slowly cook till served, hence it kept it warm, used to do that with my moms catering stuff when they had a huge amount of food to serve. i dunno being #71 and having cold food wasn't ideal but still the food was tri tip and ribs still worth it.

music wise maybe the inner facing speaker couldve been turned down, way too much echo and resonance coming from it. wasnt that audible out by the car show but that did benefit when people came and asked about the cars or just wanted to hang out and talk in general.

raffle wise i know plenty of people who were very disappointed in it but whatever its for charity it didnt bother me but the shortblock was advertised in some sorta way somewhere maybe misleading people into buying a ton and those who bought a ton may have thought there were gonna be as much as last year, with the exception of the detailing kits. having a list of whats being raffled off may help with that confusion also. so then if vendors wanna throw something out at last moment its an addition to what was said.

car show talked to matt about it already last night at the meet, people think there was some bias going on but serious, i'm pretty sure matt and sandra judged me pretty hard cause they know the flaws within my car since they've seen it at the meets and such, and looking at the end scores they seemed all to be in the correct spot in terms of how many points were given to each respective car and comparing category to category. awesome job there matt.

tables, now i wish there were more of those and chairs, there was a couple times where i went ohh nvm and went to my car to sit instead (given i do have a back issue still) but yeah anyways wish i could sit with a group of friends easily, during eating there were people who seat jacked people who were in line didn't end too friendly or people saving spots with water bottles and getting angry.

vendors were well placed and thank you all for coming out and supporting the event!

now coming to entry, it was well regulated but.... one thing here, as i mentioned earlier i have a back issue (had surgery 6 weeks ago) i didn't bring my friend in with me because i thought it was just car show participants at first which makes sense, in hopes that the regular crowd was going to be let in soon, which didnt happen and i needed help getting my car finished. didnt get her name but the girl who held the gate down refused to let my friend in, not only that "accidentally" elbowed him later on in the day, wtf... seriously you dont have to take it to that extent and elbow him because he was trying to explain i needed help. wish i saw her before i left so i could tell her to GFY cause that pretty much pisses me off. so instead of will call maybe sending out all the tickets or having them print out and then bring ID to the even with receipt having name on it would help out with this.

tshirt wise i was confused at first till a friend of mine who got them already guided me to them and were already doing a second round with gabe sooooo thats all good.

roof photowise i think a few car show participants felt left out of that and wish we were included or had a roof shot of our cars just saying but it was a difficult climb for matt there too props for going above and beyond.

anyways greg if anything please respond to this and if you have any suggestions on top or maybe feedback on my feedback that would be great.

the event its self was ran very smooth and awesome job once again greg and the others who volunteered themselves for this!

Yeah I used to manage the bats at a ranch that would run bars for separate parties and several grill locations.

Actually- I have had a Subaru since 1992, and I'd be more than happy to share my thoughts and impressions that weighed in on my scoring if anyone really wants to hear it.
I might know one or two of the entrants personally and I don't think that factored in at all- if anything I was a little harsher on my friends (sorry guys!)

But in general I tried to stick to the judging criteria outline we were given to work with- we had 5 categories to consider on a 1-5 scale, power mods, suspension, interior, exterior and overall show-worthiness.

For power mods- stock earned you a 2 from me, basic upgrades got you a 3, extra big dyno numbers got you a 4, and good documentation with a clean and detailed engine compartment earned a 5.

Wheels and tires were supposed to be a separate scoring point, but got factored into exterior- my take was that rims extending beyond sidewalls got a -1 point, call me old school, but I fail to see the practicality or "good looks" when the "hella flush" thing gets silly- and on a few cars I felt it did, but most of my other scoring was along similar lines to my power mod stuff- stock or no mods was good for a 2 -maybe even 3 if particularly clean or otherwise better than stock, 4 for mods that are clear improvements and 5 for things going above and beyond.

I didn't give but a couple of 1s, very few 5s, and my favorite and highest scoring car was not the one that got best of show- that is why we have a few judges so that different opinions get weighed into the decisions.

If you felt your car was judged unfairly, consider what you have done in each category- is it something everyone would agree is a decisive improvement over stock? remember- not everyone's taste is the same, some people might like a custom patterned fabric door insert or shifter boot that the next person thinks is horrid, if your car was entered for the "dirty" scoring- was it dirty just because you haven't washed it in months? or did it earn the dirt by getting out and doing what Subarus are supposed to be doing?

And I only know most of the cars by the number we scored them as- since I don't know most of the actual owners even by their screen names, if you wonder about you car- I'd need to know what number it was to tell you more specifically why I scored it the way I did, but "lack of transparency" is kind of a harsh charge to make for something like this- the judging was all done pretty objectively, and I didn't find the results at all surprising-

Also- Matt said there were no ties when the points were tallied, if that makes any difference to anyone.

What time was the food served? supposed to be served? That was my only real "rant", thought it was supposed to be served at 12:30?!..had to leave early but was still hoping to eat, food smelled good!

Besides that great bam, havent been to one since it was in san jose -__-..but enjoyed it!!

I was on the phone late Saturday with one of our vendors who didn't know what they were bringing (if anything) to raffle off. Next year, I hope to have a finalized list of items at least 30 days in advance, so we can create some excitement for the raffle. The short block was explained elsewhere in one of the other threads - Paul had a bad experience with it last time, and changed his mind.

The tables - those were provided by the venue, and we assembled as many as we could using the space we had available. Our positioning was based mainly on being able to hold the event inside if rain had started coming down. As far as the chairs, I had one chair for every single person who had pre-paid for a ticket. I didn't want to waste money by renting a lot of extra chairs (2.27/ea.) for people who might or might not show up. If I had rented more chairs, it would have involved renting a truck in order to move all the chairs down there.
I also worked under the (incorrect) assumption that with the ticket #/food line, it would allow us to have a certain number of people moving about at the car show, etc. that wouldn't be using chairs.

I'm sorry to hear you had an issue - spoke with my wife who doesn't know anything about this.

Sending out the tickets would only raise the cost of the ticket. Postage is currently 44 cents each, which might not sound like a lot, but when dealing with enough tickets, adds up. Having tickets print out is a very BAD idea...unfortunately there are too many dishonest people (I'm thinking of the "cookie monster" who swiped an entire box of cookies, then LIED to me about it as I called him on it...thankfully I grabbed the box back) who would find a way to print up tickets for friends, etc. and in the mad rush on the door, they would effectively be getting in for free.

Patience. It's a wonderful thing. I'm sure very few people noticed the fact that Matt was in the aerial basket inside the hangar, taking some aerial shots of the entire event. I doubt that he missed shooting the car show - and while it might not technically be a "roof" shot, it's definitely shot from 20-30 ft. in the air.

Greg... if you need help rallying the troops for raffle prizes let me know early on next year. I know we talked about it but I just got swamped.


In my experience with these kind of events, if you want a good raffle you can't lean on the vendors as much for up front expenses.

For example... we did a fund raiser event and vendor slots were CHEAP but we demanded serious raffle prizes. Raised over $20,000.

Now you have an idea of expenses and numbers that can be applied to next year. A lot of time with vendors you just have to ask. Charity donations can be write offs and everyone likes a good write off. Plus, our vendors just plain out kick ***.

My suggestion... try to round up more vendors. Lean on them less for slot cost and ask for more in donations for the raffle. I know I was looking for a raffle table to see what was out there and looking for the alternate raffle for the motor. Gotta have a table or a list for people to see. I know one dude through down $100 on tickets because he's cool as hell. And I know he and others were probably basing their ticket purchases on last years raffle... WAAAAY WAAAAAY more stuff. It's tough to get $100 ticket purchases or even $20 ticket purchases when there are so few prizes.

Big thanks to those that through down for the raffle tickets despite the raffle and HUGE thanks to the vendors that paid huge money for their slots, gas, raffle prizes, time, etc. I really appreciate it. It's always good to get face time with our vendors.




so that's my suggestion for next year... just to echo those already made and the ones you guys made yourselves.

a list/table for prize display and raffle purchase

I wish I had known what time food was being served before I got there. I was number ~300, and I didn't have a huge breakfast, but left around 1:30 since no one had even started getting food yet, and it would take time to get to my number. I just gave my ticket to someone else and ate at home.

Learning from this year, I believe that we're going to drop the ribs, and focus on one meat, one salad, one carb, and one dessert.

It's difficult to work on one dessert when someone walks up and steals a box of cookies from your service table, however.

Its just gonna come down to having people for are responsible and show up to volunteer too which is always difficult

Yea even from the car show area I could see people taking multiple cookies before food was even being served.

Lol I remember someone putting up a fresh box of cookies and my gf telling me to go grab some cookies. I get up and by the time I get halfway to the table, all of them were gone
